Step-by-step for Joeys & Kaptns

Your brain is for coaching, teaching and living life – not memorising start times. That’s why Karl can now talk to your calendar.

Whether you’re a Joey in the Karl Konnekt app or a Kangaroo Kaptn using Kaptn Karl, you can pipe Hops into your calendar and let reminders do their thing.


Before we start: two important disclaimers

1. Karl Konnekt only syncs while the app is open

On the Joey side, Karl can only update your device calendar while the Karl Konnekt app is in the foreground.

No mystical background daemons here – just honest, foreground sync.

2. Calendar apps control how reminders behave

Especially for Kaptn Karl / Karlendar:

“You may need to configure reminders in your calendar app. When subscribing to the .ics-file, check your Karlendar’s settings.”

Karl sends your event times and feeds, but Google Calendar, Apple Calendar, and Outlook decide how and when to buzz you. We’ll show you how to tweak that below.


1. For Joeys: Calendar sync in the Karl Konnekt app

What it does

On Android & iOS (not web), Karl Konnekt can:

…but only while the app is actually running in the foreground.

Step 1 – Turn on “Sync with calendar”

  1. Open Karl Konnekt on your phone.
  2. Go to Settings.
  3. Toggle “Sync with calendar” on.

On the web app this is disabled, since the sync runs through the mobile OS calendar.

Step 2 – Allow calendar permissions

  1. When the system dialog pops up, tap Allow to give Karl access to your calendar.
  2. If you previously denied it:

    • Turn the toggle on again → Karl shows a snackbar with a shortcut to app settings.
    • Open your device settings and manually allow Calendar access for Karl Konnekt.

Without permission, no sync.

Step 3 – Choose your calendar

After enabling sync, Karl shows a calendar picker:

  1. Choose the calendar you actually use (e.g. “Personal”, “Work”).
  2. Confirm your selection.

If your device doesn’t expose any writable calendar, Karl will simply tell you there’s no calendar available.

Step 4 – Configure in-app reminders (optional)

Still in Settings, you can fine-tune Karl’s own reminder logic:

Karl uses these values when it builds or updates calendar events.

Step 5 – How and when it syncs

With everything enabled:

Because sync only runs while the app is foregrounded:

Step 6 – Turning sync off

  1. Go back to Settings.
  2. Toggle “Sync with calendar” off.

Events that already exist in your calendar stay until you remove them yourself – Karl just stops syncing and clears its internal comparison map.


2. For Kaptns: Karlendar in Kaptn Karl

As a Kaptn, you don’t write into the device calendar directly. Instead you get a live Karlendar:

Any calendar app that supports webcal / iCal can subscribe to this feed and stay in sync.

Step 1 – Enable sync in Kaptn Karl

  1. Open Kaptn Karl.
  2. Go to Settings.
  3. Toggle “Sync with calendar” on.
  4. A Karlendar sheet appears with:

    • A Google Calendar button
    • An Apple Calendar button
    • Your raw Webcal URL
    • Reminder options

Step 2 – Subscribe in Google Calendar

  1. In the sheet, tap “Subscribe (Google)”.
  2. Karl opens a link like: https://www.google.com/calendar/render?cid=webcal://karlkonnekt.app/karlendar/<id>.ics
  3. In Google Calendar (web), confirm that you want to add the calendar.

Your Karlendar now shows up alongside your other calendars.

Step 3 – Subscribe in Apple Calendar (iPhone / iPad / Mac)

  1. Tap “Subscribe (Apple)” in the Karlendar sheet.
  2. This opens a webcal:// link.
  3. iOS/macOS asks if you want to subscribe to this calendar – tap Subscribe / OK.

Apple will keep that calendar updated over time.

Step 4 – Subscribe in other apps (Outlook, etc.)

  1. In the sheet, copy the Webcal URL.
  2. In your calendar app (e.g. Outlook, Thunderbird, etc.) choose:

    • “Subscribe to calendar”
    • “Add internet calendar”
    • or similar wording.
  3. Paste the URL and confirm.

Your Karlendar appears as an internet/subscribed calendar.

Editing events directly in Google / Apple / Outlook won’t change anything in Kaptn Karl. Always edit Hops inside Kaptn Karl – your Karlendar is a read-only mirror.


3. VERY important for Kaptns: set reminders in your calendar app

This is where the disclaimer comes in:

You may need to configure reminders in your calendar app. When subscribing to the .ics-file, check your Karlendar’s settings.

Here’s how to do that in the big three:

A) Google Calendar – set default reminders for your Karlendar

On desktop Google Calendar: (support.google.com)

  1. Open calendar.google.com in your browser.
  2. In the left sidebar under “My calendars”, hover over your Karlendar.
  3. Click the three dots“Settings and sharing”.
  4. Scroll down to “Event notifications”.
  5. Add one or more default notifications, for example:

    • Notification: 15 minutes before
    • Notification: 60 minutes before (optional)
  6. (Optional) Set All-day event notifications too if you use all-day Hops.

These defaults apply to all events in that calendar, including those coming from Karlendar. Google’s own mobile apps will use the same settings. (support.google.com)

B) Apple Calendar – enable alerts for the subscribed Karlendar

On iPhone / iPad: (discussions.apple.com)

  1. Open the Calendar app.
  2. Tap Calendars at the bottom.
  3. Find your Karlendar in the list and tap the “i” info icon.
  4. Make sure “Event Alerts” (or similar option) is enabled.
  5. If you’re not getting any alerts:

    • Go to Settings → Calendar → Default Alert Times and choose default alerts for events (e.g. 30 minutes before).
    • In Settings → Notifications → Calendar, ensure notifications are allowed and set style/sound to your liking.

On iCloud.com / macOS, you can similarly open Calendar settings and set default alerts for events, which will apply to that account’s calendars. (support.apple.com)

C) Outlook – set default reminders for calendar events

Outlook treats reminders mostly as a global default plus per-event tweaks. For subscribed internet calendars, events typically follow the default reminder settings. (support.microsoft.com)

In Outlook desktop (Microsoft 365 / classic):

  1. Open Outlook.
  2. Go to File → Options → Calendar.
  3. Under “Calendar options”, find “Default reminders”.
  4. Choose how long before events you want to be reminded (e.g. 15 minutes, 30 minutes).
  5. Click OK to save.

For Outlook on the web:

  1. Open Outlook in your browser.
  2. Go to Settings (gear icon) → Calendar → Events and invitations.
  3. Set Default reminder for events.

For individual events, you can also double-click an event and adjust the Reminder drop-down manually.

Note: Outlook’s behaviour with subscribed internet calendars can vary slightly by version. If you’re not seeing reminders, double-check both the default reminder and whether the Karlendar is configured to show alerts.
